Do I have to fill in all of the fields in the Teen Court Database(c) ?One of our most common questions is whether a teen court must fill in all of the information fields in the Teen Court Database(c). Our answer to that is NO. The only REQUIRED fields you must enter are the Citation, Last Name, and FIrst Name fields. All other fields are optional. But remember, you only get out of the database what you put into it! Reports are based off of more data requirements. Back to TopHow do I import data from an earlier version to a newer version of the Teen Court Database(c) ?It is possible to import the data from an older version to a newer version. The new database must not have any data in it. Note: If there is data in the newer version, it must be erased first. To do this, click on the 'Erase Database' button. For the password, please contact JAT Trax Studios. Instructions: First backup the
older version data. Open new database. Click on Administration Tools button. Click on Import Data tab. Back to TopWhy is the database page so large on my computer screen? The video card setting should be changed. You must have a minimum
display
resolution of 800 x 600 pixels to view the Teen Court Database(c)
correctly on your screen, and the maximum for best
readability is 1024 x 768. Click on the START button. Then select SETTINGS/Control Panel. Double-click on the DISPLAY icon. Click on the "Settings" tab. In the 'Screen Area', move the arrow tab until it says 800 x 600 pixels. Click on 'Test' (it takes a few seconds). Click on Okay. Then close. You may have to restart your computer with some older operating systems. How do I update a record if I make a change in a data field ?In the case where you inadvertantly put incorrect data in a field and change it, you will want to refresh the data. To do this, just click into another data field, or...go to the 'Records' drop down menu at the top of the page. Click on refresh. Note: Your cursor must be in the field at the time you refresh. Back to TopCan I export data to a Word document?Yes. You can export forms to Word and/or Excel. At that point, you can manipulate the form and save it as a Word or Excel document. Any changes you make in the Word/Excel document are not reflected in the database. To export data from a report form in the Teen Court Database(c), while in the report form you want to export click on Tools, then click on Office Links. This will take you to Word and your document will appear. Be sure to save it as a word document before closing. Back to TopCan the forms be changed to reflect differences in the court model we use?The example we received regarding this question was that the court did not use a 'verdict' form and instead used a document entitled 'case dispositional contract'. Also, this same court may have over ten sanctions (sentences) to choose from and wanted to make sure they could customize their forms to meet their needs. Although the Teen Court Database© allows you to enter as many sentences and workshops or classes as you want, you cannot change the name of the title on the report, unless you export the report to Word. Back to TopCan I back up my data files? In Version 3.02 of the Teen Court Database©, you are able to backup your data onto the "C" drive (or assign a path to a network drive) and click on the backup button from the Main Switchboard. Restoration of the complete data set will be allowed into an empty database should you lose your computer function and have to reload your Teen Court Database©. Please read the Instructions for more detailed directions. Back to TopI get an error message "The report has no data. Report is cancelled."In Version 3.02 of the Teen Court Database©, you may receive the above error message when you run a report. The report is missing data. Be sure that all required data for that particular report is entered into the data fields. If you are not sure what might be missing, please read the instruction manual provided, or contact JAT Trax Studios for customer service help. Back to TopUsing MS Access 2003?If you are using Access 2003, you must have Service Pack 1 and 2. To find out, open MS Access 2003 from your desktop. Click on the HELP drop down menu. Then left click on "About Microsoft Office Access". The top line in the gray box should show SP1 or SP2. If it does not, contact your IS department to download a free copy from the Microsoft website.
